Small Business Answering Systems
Challenge – Small business with answering machine as primary phone. Busy Signals, No Call Forwarding, No Cell Phone Alerts
The owner of a small cleaning company was missing calls from clients consistently because she had no one answering phones:
- She was either on the phone and the clients would get a busy signal or
- She was away from the office, working.
She has a two person operation, and she and her partner took calls from businesses who wanted them to come and clean offices. She was frustrated and looking for a solution that would solve both the busy tone and the ability to have call forwarding to her cell phone when she was on the road.
Solution – Auto Attendant – Messaging Service set up a virtual office that would answer phones after 4 rings or if the phone was busy. The auto attendant gave the opportunity for the customer to reach customer service, make an appointment or speak to someone in billing.
With auto-attendant there were no more busy signals!
If she was on the phone, the customer could leave a message and she would be immediately notified. If she was out in ‘the field,’ the customer could press a button and reach her on her cell phone. Prospects no longer received frustrating busy signals and she would be accessible for her clients during the day whether she was in or out of the office.
Results: Customer is extremely pleased with the results of our virtual auto attendant.
Her business flows much better, which in turn, is allowing her business to grow. She loves how her cell phone calls includes a name announcement that lets her know the nature of the call. She also loves the cell phone alerts on her iPhone. She can click and hear her messages with the press of a button.
Her business has increased significantly and she says she doesn’t know why or how she worked without a hosted pbx solution for so long.
