Challenge: A woman who runs a small fitness center called and said she was adding more fitness classes and instructors. She had always been a one-woman show before, and she wanted to be able to give her new people their own personal voicemail so that they could receive calls from established clients. She wanted to be fair, because the fitness instructors were bringing their current clientele with them, but she didn’t want the expense of adding more phone lines to her building.
Solution: AccessDirect set the fitness center up with Busy/No Answer advanced voicemail system. If the owner can’t answer the phone after four or five rings, or if she is on the phone, the AccessDirect Auto Attendant picks up the call and gives the customers options to choose which instructor they want to leave a message for. The instructors would then be immediately notified via wav.file on their Smart Phones so they would know to call the client back. A mailbox for people who wanted to set an appointment for a new fitness instructor was also set up, and the owner could randomly forward the messages in an equal and fair manner.
Results: The fitness center is doing great. The instructors find the system very fair and love that they are immediately notified when one of their clients calls. They continue their long term relationships with their clients easily and effectively, as they can call them back and schedule workouts when they are in or out of the office with their instant notifications on the Smart Phones. The owner is extremely happy with the solution because she saved from the expense of adding new lines, and her new people are content. She’s actually made quite a reputation for her little gym, and her ‘boot camp’ and personal training classes are going quite well. She is working on her website and will soon add a virtual number from AccessDirect that goes right to an auto attendant for her different options.
