Challenge: A small town’s Parks and Recreation Center had hired over 20 people to help with maintenance and lifeguarding the city’s pools for the summer. They wanted a way to leave daily messages for all employees, and they wanted each employee to have a voice mailbox and extension number so that parents/frequent swimmers could call and ask any specific questions they might have about times, rules or incidents.
Solution: I recommended our Direct Receptionist 4 package. The package gave the company 4000 minutes and up to 25 extensions to use. We set up Group Messaging so that the manager of all of the pools got to broadcast his messages to his employees’ voice mailboxes easily. They also each had their own personal extension. The owner was also given Web Access, so that if he had to replace the workers, he could go online and change the names and email addresses for their Voice-to-Email wav.file delivery. Our auto attendant connects lifeguards for this Parks & Recreation Department.
Results: The owner is extremely pleased with how efficient the Auto-Attendant is. Each employee has their own Voice Mailbox so they can each record their personal greetings and they can deal with their own questions about their own specific pool information. They were all able to check their messages with their Smart Phones. The manager of the Pools for the Parks and Recreation Department is able to leave all 20 employees messages at once with our Group Messaging feature. He told me he didn’t know how he would get through this hot summer season without our help.
